Stockroom Network
Your suppliers are on Shopify too
The PO you email today is a PDF somebody re-types. Connect the supplier and it lands in their store as an order. Their fulfillment updates your PO, and their prices keep your costs current.
Connect a supplier in three steps
Stockroom Network connects two Shopify stores that both run Stockroom. Only purchase orders cross between them.
Connect a supplier
Invite any supplier from their page in Stockroom. If they sell on Shopify, Stockroom is free for them too. Both sides approve the connection before anything crosses.
Order like you already do
Mark a PO ordered and it arrives in their Stockroom, with the lines matched to their catalog by your supplier SKUs. One click on their side creates the order in their store, or it happens automatically if they turn that on.
Watch it come back
When they fulfill, their tracking and shipped quantities come back onto your PO and move it through ordered, partial and received.
Cut a day and a half from the order cycle
Connecting a supplier removes the gap between sending a purchase order and somebody at the other end typing it back in.
- It arrives in seconds. Mark the PO ordered and it is in their Stockroom straight away. Nobody waits on an inbox, and the one to three days it used to take for the order to exist on their side are gone.
- Nobody re-types it. Lines arrive matched to their catalog through the supplier SKUs you already keep. That removes the wrong-variant and wrong-quantity mistakes that come from re-keying a PDF. If a code is ambiguous, Stockroom flags it instead of guessing.
- Status updates come to you. They fulfill in their own Shopify admin and your PO moves to On the way with their tracking and carrier. Receiving is then prefilled with what shipped, so you no longer have to chase an order for an update.
Run the whole order chain automatically
Connecting a supplier is what makes automation possible. Once your PO reaches their store as an order, nobody has to open a PDF or re-key anything. Every hand-off below can still wait for a person where you want one.
- The purchase order is raised for you. A replenishment suggestion, or a customer order for something you do not stock, becomes a purchase order against the supplier your vendor and product-tag rules point to.
- It sends on its own. The order can go as soon as it is raised, and a connected supplier has it in their Stockroom straight away, with your lines matched to their catalog by the supplier SKUs you keep on your products.
- Their store creates the order. One click on their side, or automatically if they have turned that on. It becomes an order in their store, so their usual picking, packing and fulfillment apply to it.
- Fulfillment comes back to your PO. Their tracking and shipped quantities land on your purchase order and move it through ordered, partial and received.
- Drop-ship orders reach your customer. When the order ships to your customer rather than to you, their shipment fulfills the Shopify order it came from and your customer gets the tracking.
- Approvals wherever you want them. Each step is a setting, on your side or theirs. You can approve every order before it sends, approve only the first one from a new supplier, or approve none of them. You turn automation on one step at a time.
Your supplier's prices update your costs
A connected supplier can share the products they sell you and the prices they charge. Your costs in Stockroom then follow their price list instead of a spreadsheet.
- Suppliers choose what to share. They can share listings, price breaks per price list, pack sizes, minimums and lead times. Their cost and stock counts are not shared.
- Browse it from their page. A connected supplier's shared listings sit on their page in your Stockroom. Link one to an item you already sell, or Add to my store to create the Shopify product from their listing.
- You approve price changes, or set a policy. Auto-accept everything, auto-accept decreases and review increases, or review every change. A price you set by hand is never overwritten without asking you.
- Costs feed your reporting. Updated costs flow into weighted-average cost, landed cost, margin reporting and the buy plan.
- Sent POs keep their prices. Price changes apply to future orders only. A PO you have already sent is not repriced.
- Prices stay in their currency. The price list stays in the supplier currency, the same as PO documents. Totals are not mixed across currencies.
- Availability without stock numbers. A listing shows in stock, low or out, not their quantity. If they stop sharing an item, it is flagged everywhere you linked it.
- Catalog changes in your digest. Newly shared items and price changes can land in your alert digest, so you hear about a repricing even if you auto-accept it.
This is not Shopify Collective
Collective is a marketplace. It introduces you to suppliers and sits between you on the money. Stockroom Network connects two stores that already trade with each other, so your purchase order becomes their order. It carries restock orders and drop-ship orders, and plenty of stores use both products.
- A marketplace that introduces you
- You list their products and hold no stock
- Retail order flow, split payouts
- A connection to suppliers you already chose
- Restock to your shelf, or drop-ship to your customer
- PO flow - landed costs, COGS, margins
Stockroom Network FAQ
What does my supplier need?
A Shopify store running Stockroom, which is free. Suppliers who are not on Shopify keep getting your PO by email and PDF as before.
What data crosses between the stores?
Purchase orders, plus the fulfillment updates and published prices that relate to them. Your sales, your stock levels and their unit costs do not cross. Both sides agree to the connection, and either side can disconnect at any time.
What does it cost?
Nothing. Stockroom Network is part of Stockroom, which is free for both sides. The only paid product we make is MyWorks Sync, our accounting sync.
What if our SKUs do not match?
Lines match through the supplier SKUs you already keep on your products. Anything that does not match is flagged for your supplier to resolve, and the connection remembers the match for every future PO.
Can a supplier change what I pay without me noticing?
No. Price changes arrive under your accept policy, sent POs are not repriced, and price-change alerts tell you what moved.
Connect your first supplier
Install Stockroom, open a supplier, and send the invite. If they sell on Shopify, setup on their side takes about five minutes.
