Pick lists and packing for Shopify orders

Turn the orders waiting in Shopify into a pick list your team walks in bin order on a phone, with or without a Shopify login. Then pack each order at a bench that checks every item by scan, prints the packing slip and buys the shipping label. Your stock stays in Shopify.

Pick lists in bin order

A pick list is made from the fulfillment orders Shopify is already holding. Each list covers one location and as many orders as you want to pick in one pass.

  • Made from what is waiting. New pick list reads the open, unheld fulfillment orders from Shopify for the location you choose. You can also start from the Shopify Orders page: select orders and choose Pick with Stockroom, or choose Pick this order from the order itself. An order already on an open list is not added again.
  • Lines in bin-walk order. Every line shows the bin you gave the product at that location, and the list sorts by it: primary bin first, lines with no bin last. Choose Order by bin for the walk, or By order to see each customer's lines together.
  • Scan or tap to pick. A hardware scan by SKU or barcode (UPC or EAN) picks the matching line. A tap on the picked count adds one. Over-scans and unknown codes play the miss cue and say why. If Shopify changes a line's quantity after the list was made, the line shows the old number beside the new one.
  • Short picks with a reason. Short takes a reason (not in the bin, damaged, none in stock) and a decision. Count this bin applies a stock adjustment for the difference. Order more puts the shortfall on a draft purchase order for the supplier. Pick what is there leaves the rest open on the order.
  • Picker links for staff without a seat. Give a picker a named link and they get a phone page for the list: lines in bin order, camera or hardware scanning, +1 and Pick all, and a Short button that records the reason. They need no Shopify login and no staff seat. The link stops working when you revoke it or when the list leaves picking.
  • Print the pick list. Tick boxes, bins in walk order, and one barcode per order for the bench to scan. No prices and no customer details on the page.

Pack one order at a time

Picked lines become orders to pack. The bench shows one order at a time, checks each item by scan, and finishes the order the way your store ships.

  • Scan to verify each item. On by default, every item has to be scanned into the box before the order can finish. If a scan belongs to another order on the list, the bench says which one. Turn verification off in Settings and the bench takes a count per line instead.
  • Switch orders by scanning them. Scan the order barcode on the printed pick list or a packing slip and the bench switches to that order. If a product code looks like an order number, the bench treats it as a product.
  • Packing slips from the bench. Your logo and business name, the order number and delivery method, the ship-to address, and the lines split into ordered, in this box, and to follow, so a short-picked line shows what ships later. No prices, since the invoice comes from Shopify.
  • Four ways to finish. Fulfill in Stockroom with a tracking number, carrier and link. Ready for pickup, and Shopify sends its own notification. Hand off to Shopify, the default, and buy the label on the order as usual. Or buy a Shopify Shipping label at the bench.
  • Shopify Shipping labels at the bench. Pick a saved package or type the dimensions, check the weight (prefilled from your product weights when every item has one), choose a carrier and service if you want to, and click Buy label and fulfill. Print it as ZPL to a Zebra printer or as a PDF. A partial pack gets a partial label and the rest stays open on the order.
  • Short-picked units stay open. Whatever was not picked is not fulfilled. The order keeps its remaining units in Shopify as a partial fulfillment, the same as if you had done it in the admin.
In Shopify and on POS

Where your team already works

Picking is also in the Shopify order page, the Print menu, the POS home screen and Shopify Flow.

  • On the order page. Pick this order is under More actions, and Pick with Stockroom works on a selection from the orders list. A Stockroom - Picking block on every order shows the list it is on, picked and packed counts, short lines, how it was finished and the tracking.
  • In the Print menu. Print a packing slip or the pick list from an order's own Print menu, previewed in Shopify's print dialog. Select up to 50 orders on the orders list and print their packing slips as one document, one slip per page.
  • Pickup orders on POS. A Pickup orders tile on the POS home screen shows what is waiting at that device's location. Open an order, scan every item, tap Ready for pickup, and Shopify tells the customer.
  • Shopify Flow triggers. Pick list created, Pick list picked and Order line short picked are all triggers. The short one carries the order, product, SKU, needed, picked and missing, so a flow like "message the buyer when something is short" takes two steps.
  • Lists follow the order in Shopify. Per-store webhooks keep every open list in step with Shopify. An order edited, cancelled, moved or put on hold is flagged or removed, and an order fulfilled in the admin is marked done. Check for changes re-reads the list on demand.
  • Which batch to pick. With lot tracking on, a lot-tracked line names the batch to pick: the order's saved allocation, or the earliest-expiring lot. Scanning the batch label confirms it.
Limits

What picking does not do

Things to know before you rely on it.

  • It writes nothing to your inventory. Shopify commits the units when the order is placed and deducts them when it is fulfilled. Picking and packing organise the work in between and do not adjust stock levels. The one exception is Count this bin on a short pick, which applies a permanent stock adjustment.
  • No customer data stored. A pick list stores the order number, the fulfillment order ids, the line titles, SKUs, barcodes and bins, and the counts. The ship-to address on a packing slip is read from Shopify at print time and is not stored. If it cannot be read, the slip prints without it.
  • Shopify Shipping labels are billed by Shopify. Labels are billed to your store at Shopify Shipping rates. Shopify picks the rate the same way the admin does unless you choose a carrier and service. Shopify gives apps no rate list to show, so there is none here. Voiding a label is done in the admin, and Shopify excludes FedEx.
  • In the Shopify admin app for now. Pick lists and the bench are in the embedded app and on POS. The go.stockroom.app buyer app does not have them yet. Picker links work on a phone in the meantime, with no login.
Questions

Common questions

Do I have to fulfill through Stockroom?

No. Hand off to Shopify is the default finish. The order is marked packed in Stockroom, and you buy the label and fulfill on the order in Shopify as usual. Fulfill in Stockroom and the Shopify Shipping label are there if you want the bench to do it.

Can staff pick without a Shopify account?

Yes. A picker link opens a phone page for one pick list with no login and no staff seat. They scan or tap, and their picks show on the list under the link's name. Marking the list picked, counting a bin and ordering more are done by staff in the admin.

What happens if an order changes after the list is made?

Shopify tells Stockroom. A line added, resized or removed updates the list and shows the old quantity beside the new one. An order cancelled or moved to another location leaves the list. An order fulfilled in the admin is marked done. Stockroom only removes what no longer needs picking and takes no other action.

Does a pick reserve or deduct stock?

No. Shopify committed the units when the order was placed, and fulfillment deducts them. Picking does not change stock levels, so nothing is counted twice.

Do I need Shopify POS?

No. Pick lists, the bench and picker links work from the Shopify admin and any phone. The Pickup orders tile is only for stores that have POS and take in-store pickups.

What does it cost?

Nothing. Picking and packing is part of the free app, like everything else in Stockroom. There are no trials and no credit card at install. Shopify Shipping labels are billed by Shopify to your store, the same as in the admin.
