The numbers

Levels calculated from your sales

Stockroom builds a daily sales rate per item per location, then works reorder points back from it. Every number can be opened up and explained.

  • Your own sales history. On install, Stockroom imports up to two years of your sales, so it can see seasonality and compare year on year.
  • Stockout-aware velocity. Days when an item was out of stock do not count as days it did not sell, so a stockout does not make a best seller look slow.
  • Suggested levels you approve. Low stock, reorder point and max level are suggested per item and per location. They stay suggestions until you apply them. Review one at a time, apply in bulk, or ignore items.
  • See the working. An explain dialog breaks every suggestion into sales rate, lead-time cover, safety stock and top-up. There is no machine learning involved.
  • Supplier constraints respected. Minimum order quantities and pack sizes lift and round the suggestion, so the order matches what the supplier will ship.
  • Untracked items stay out. Items you do not track stock for never appear as out of stock or generate suggestions, so a drop-ship variant does not show up as an emergency.
The buy plan

Knowing an item is low is half of it. The buy plan also tells you when the order has to leave.

  • Order-by dates. Every line carries the date it runs low and the date you must order by, worked back from the supplier lead time you set, the lead time observed from your last deliveries, or your default.
  • By supplier or by week. Group the plan by supplier to build one order, or by order-by week to see what has to leave now, this week, next week and later.
  • Plan ahead. A horizon of 14, 30, 60 or 90 days pulls in items still above threshold that will cross it in that window, shown dimmed and unchecked until you decide.
  • Open orders already counted. Quantities already on a draft or open PO are subtracted, and covered lines disappear from the plan, so you do not order the same thing twice.
  • Narrow it down. Filter by supplier, tags, product type, sales activity, minimum line value or location, then sort by urgency, value or title.
  • Draft POs in one click. Turn the checked lines into drafts, one per supplier, or one combined order per supplier when the lines span several locations.

Alerts and a daily feed

Find out about a stockout before a customer tells you.

  • Out-of-stock alerts in near-realtime. Sent to Slack or email on rules you write, by tag, vendor, product type or location.
  • A daily attention feed. Home lists what needs attention, worst first: items out of stock with sales behind them, items running short with nothing incoming, overdue deliveries, overdue payments and stale drafts. Rows clear when the problem resolves, so there is nothing to dismiss.
  • Projected shortfall. A report of everything crossing its reorder point within 7, 14, 30 or 60 days, and whether incoming stock arrives in time to cover it.
  • Automate the rest. Shopify Flow triggers fire when an item goes out of stock, drops below low stock, crosses its reorder point or hits its overstock level, so you can build your own workflows on top.

Common questions

How long before the suggestions are any good?

Stockroom scans your sales history at install, so suggestions usually appear within minutes. The more history your store has, the better they get. It reads up to two years.

Is this AI or machine learning?

No. It is explainable arithmetic on your own sales rate, lead time, safety stock and current position, and every suggestion can be opened up to show how it was calculated.

Will it change my reorder points automatically?

No. Suggestions sit next to your own values until you apply them. Your saved values take priority, and you can exclude any item from suggestions.

Where does the lead time come from?

The value you set on the supplier if you set one. Otherwise Stockroom observes it from your last five received orders for that item or supplier, and falls back to your account default. Every line shows which of the three it used.
