Stocktakes and cycle counts
Scope a count to a vendor, product type or supplier, run it blind, and let several people count at the same time. Progress updates live.
- Blind counts. Hide expected quantities so staff count what is on the shelf.
- Multi-worker counting. Count from the admin, POS tiles, or no-login counting links you can revoke. Camera scanning works in any browser.
- Cycle-count schedules. Standing daily, weekly or monthly counts, plus a least-recently-counted worklist.
- CSV count import. Bring in counts from external scanners or count sheets.
- Audit exports. Three stamped CSVs per session: the full scan log, the differences, and what was never counted.
- Live progress and value. Units counted and value at cost or retail, as the session runs.
- Works with any scanner. Burst scanning keeps up with a fast hand, and scanners that do not send an Enter key still count.
- Bin and shelf locations. Record where a variant lives per location, add overflow bins beside the primary one, count the aisle whose bins start with A, and walk the count in bin order, on screen and on the count sheet.
- Count what you scan, or one status. Start an empty session that builds itself from scans, or scope a count to active or draft products only.
- Counted items with cost. An export with unit cost and the value of what was counted, what was expected and the difference, so you have a write-off figure for your accountant.
Numbered adjustments with an audit trail
Numbered adjustment documents with Shopify's own reason codes: damaged, theft or loss, correction. Once applied, an adjustment is permanent.
- Scan to adjust. Add items to an adjustment by barcode, or bulk-adjust from the Products list.
- Permanent audit records. Applied documents cannot be edited. To correct one, you apply a further adjustment.
- A single product timeline. Receipts, adjustments, stocktakes, transfers and sales merge into one history per product.
- CSV export per document. Export what changed and why for your accountant.
- Edit levels from the list. Click a low-stock, reorder-point or max-level cell on the Inventory list and edit every variant of that product for a location in one dialog.
- Adjust by lot. With lot tracking on, an adjustment or a stocktake variance on a marked item picks the lot it applies to, and the lot page links back to the document.
Common questions
Does applying a stocktake change my Shopify inventory?
Yes. Finishing a count mints a numbered adjustment, and that document makes the Shopify write. Cancelling a count writes nothing to Shopify. Counts are taken against on-hand rather than available, so open orders cannot corrupt a count.
Can I undo an adjustment?
Not by deleting one. An applied document is permanent and stays in the audit trail. Reverse creates a counter-adjustment as a draft, so you read the numbers before anything reaches Shopify.
Can staff count without a Shopify login?
Yes. Issue a named counting link that works in any phone browser, and revoke it when you are done. A link can hide expected quantities on its own, and a blind stocktake forces every link blind, enforced on the server rather than in the page. No POS Pro subscription is required.
What happens if someone scans an item the count does not cover?
It is kept and marked Skipped, so applying the count leaves that item's Shopify stock alone unless you include it. A line whose Shopify on-hand we have not been told yet is left unapplied and says so, rather than guessing.
Is this part of the free app?
