Receiving

Receive deliveries the way they arrive

Deliveries come in late, in parts, or with several POs on one pallet. Receiving handles each case, and every receipt is kept as a record you can audit.

  • Full or partial receiving. Receive what arrived, per location, and the PO tracks what is still outstanding.
  • One shipment, several POs. When orders arrive together, receive them in a single session with scanning across all included POs.
  • Undo receive. Void a receipt and the inventory change is reversed. The history is kept.
  • Close short. Cancel backorders and remove the leftover incoming stock from Shopify when a supplier under-delivers.
  • Cost checks at the door. Edit unit costs at receiving and see received cost beside agreed cost for invoice reconciliation.
  • One-step inventory update. Receiving moves stock from incoming to available in a single update.
  • Receive in bin order. Order by bin sorts the delivery the way you walk the shelves. With lot tracking on, marked items take a lot number and expiry as you count.
  • Prices while you count. An optional New price column sits beside unit cost, so you can type a price change from the invoice while receiving. You still confirm it before it goes to Shopify.
  • On POS, with any scanner. Receive at the till with the camera or a hardware barcode scanner. If you choose, POS receives can update product costs automatically. This is the only place costs update without a confirm step.
  • Warnings before you receive. If a PO is set not to update Shopify inventory, the receive screen says so. An incoming stock check also finds on-the-way units left behind by a previous app so you can remove them.
Landed cost

Landed cost per unit

Freight, fees and duties are spread across the receipt by value, quantity, weight or a custom split, so the product cost includes more than the supplier invoice.

  • Allocate on receive. Add charges to a receipt and Stockroom spreads them across lines by the method you choose.
  • Push costs to Shopify. Update Shopify cost-per-item with the weighted-average cost, opt-in per action.
  • Permanent records. Each receipt keeps a permanent record of its allocation. Charges can still be corrected until the PO closes.
  • Reports use landed cost. Landed cost feeds the COGS and landed cost reports, so they show what you paid.
  • Average or latest cost. When you push a cost, choose the new weighted average or the latest landed cost. Both figures are shown before you confirm.
  • Correct a receipt after the fact. Fix the unit costs on a booked delivery without undoing it. Only that receipt is re-booked, and pushing the corrected cost is a separate confirm step.

Common questions

Does receiving update my product cost in Shopify?

Only when you confirm it. The receive dialog shows the new weighted average and the latest landed cost and asks every time. The one exception is receiving on Shopify POS, where a till has no dialog to confirm in: Settings has an automatic cost update that is on by default. That is the only automatic cost update in the app, and selling prices are never updated automatically either way.

What happens when more or fewer items arrive than I ordered?

Receive what arrived. Over-delivery is allowed and the ordered quantity does not move, because the PO is the agreement and the receipt is what turned up. A short delivery asks whether to keep the rest outstanding or close the order short, so a backorder is a choice rather than a default. Freight is still spread over the ordered quantities, so a large surplus shifts the per-unit figure a little.

Can one delivery go into more than one location?

Yes. Receive to each line's own destination, to a single location you pick, or split a line across locations as you count. A split submission is refused as a whole, before anything is booked, if the quantities you allocate do not add up to what you counted.

Can I fix the freight after the delivery is booked?

Yes, until the PO closes. Changing a charge re-books the receipts it touched and updates the landed cost. A cost you already pushed to Shopify is not re-pushed, so send the corrected cost yourself when you are ready.

Is this part of the free app?

Yes. Purchase orders and receiving are free, and they stay free - that's the core of the app, not a trial. As Stockroom grows into deeper inventory management, the advanced end of that will be paid, along with things like hands-on onboarding and priority support.
